UTM discipline usually breaks when the naming system is either absent or too complicated to use during a busy launch. Start with five required fields: source, medium, campaign, content and market. Agree on lowercase values, hyphens for spaces and a short controlled list for source and medium.

Keep one source of truth

Store approved values and live campaign names in a shared campaign register. Assign one owner to review additions, but let channel owners create links from a template. This protects consistency without turning tagging into a bottleneck.

Review for decision quality

Each month, check unknown sources, duplicated campaign names and links with missing parameters. The goal is not perfect hygiene. It is enough consistency to compare campaign outcomes with confidence and explain where budget produced meaningful action.
